"What's this going to cost us?" is usually the second question we get, right after "can you even do corporate events?" (Yes. We covered that a few weeks back.) It's a fair question, and it deserves a straight answer instead of a vague "depends" — so here's how we actually think about pricing an event, and how to think about it on your end too.
The Factors That Actually Move the Number
Guest count. The single biggest driver. Most bar packages scale per person, so a 40-person office happy hour and a 300-person company-wide holiday party aren't remotely the same budget conversation — and that's fine, because pricing should scale with them.
Bar type. A beer-and-wine setup costs meaningfully less than a full open bar with premium liquor. A signature cocktail (or two) added to either tier bumps things up modestly, not dramatically — and often does more for the "wow" factor per dollar than upgrading the liquor shelf does.
Hours of service. Most packages are built around a set window (commonly 4–5 hours), with clear per-hour add-on pricing if your event runs long. Know your actual event length before you ask for a quote — "the party's from 6 to 9" gets you a much tighter number than "probably a few hours."
DJ vs. bar-only, vs. both. Bundling DJ and bar with one vendor is almost always more cost-efficient than booking two separate vendors, mostly because you're not paying two separate setup/travel/coordination overheads. It's also one fewer vendor relationship your team has to manage.
Day of week and season. Weekday and daytime events are typically easier to book and price than weekend evening events, since those slots are in less competition with wedding season. November and December book up fast for obvious reasons — plan and quote early.
What We'd Tell a Friend
Don't shop by the smallest number you can find. A rock-bottom quote usually means one of three things: no insurance, undertrained staff, or a package so bare-bones you'll end up paying for add-ons anyway. Compare what's actually included — insurance, setup/breakdown, garnish and mixer quality, staff-to-guest ratio — not just the sticker price.
Also: ask for an itemized quote, not a flat number. A good vendor can tell you exactly what changes if you add 20 guests, drop an hour, or swap beer-and-wine for open bar. If a vendor can't break that down for you quickly, that's worth noting.
